PayPal Invoice Generator

Add your PayPal email address in Settings once. From then on, every invoice you generate automatically includes a 'Pay with PayPal' button embedded in the PDF. Your client opens the invoice, clicks the yellow button, and pays — via their PayPal balance, bank account, or card (availability varies by region). When payment clears, the invoice status updates to PAID. No manual reconciliation, no 'did they pay yet?'

Quick Answer

PayPal invoicing embeds a Pay with PayPal button in every generated invoice PDF. When the client pays, the invoice status updates to Paid automatically and a linked income transaction is created, so no manual reconciliation is needed.

Best for

  • Freelancers who already use PayPal for payments
  • Clients who pay fastest with one-click checkout
  • People who want payment status without manual reconciliation

Not ideal for

  • Businesses whose clients only pay by wire or in cash
  • Regions where PayPal business accounts are unavailable

Payment features depend on PayPal's regional availability, and PayPal's normal fees apply to your account.

International freelancers

You work with clients globally. PayPal handles currency conversion automatically — your US client pays in USD, your UK client pays in GBP, and you receive funds in your preferred currency.

Quick one-off projects

A client needs a quick job done — 'Fix the homepage bug, $150.' Describe it, generate the invoice with PayPal button, and send it in under 60 seconds. Client pays immediately upon receipt.

Retainer clients with recurring billing

Monthly retainer clients receive invoices with PayPal links. They can set up automatic payments through PayPal, and you never have to chase them for monthly fees.

Frequently Asked Questions

Do I need a PayPal Business account?

No. Tally Assistant works with both personal and business PayPal accounts. Simply add the email address associated with your PayPal account in Settings. Personal accounts work for receiving payments, though business accounts offer additional features like customized checkout pages.

What payment methods can my clients use?

Clients pay through PayPal using their PayPal account. In supported regions, PayPal may also allow guest checkout via credit or debit card without an account, but availability varies by country and is controlled by PayPal — not by Tally Assistant. If guaranteed credit card processing is needed, consider adding a Stripe payment link as a complement.

What currencies does PayPal invoicing support?

PayPal supports payments in 25+ currencies. When a client pays in their local currency, PayPal handles the conversion to your receiving currency. Tally Assistant records the payment in both the original currency and your configured base currency for accurate reporting.

What are the PayPal transaction fees?

PayPal charges a standard fee per transaction (typically 2.99% + fixed fee for domestic payments, higher for international). These fees are PayPal's standard rates — Tally Assistant does not add any additional fees. Check PayPal's website for current rates in your country.

Is payment status tracked automatically?

Currently, payment status is updated when you manually confirm receipt in Tally Assistant. Automatic payment confirmation via PayPal's API integration is on the roadmap. We recommend checking your PayPal account to confirm payment and then updating the invoice status in Tally Assistant with one click.
