1099 Deduction Categories Every Contractor Should Track
1. Home Office Deduction
Two methods:
- Simplified: $5 per sq ft, up to 300 sq ft = $1,500 max
- Regular: Actual expenses × business-use percentage (rent, utilities, internet, insurance)
Track: Square footage of dedicated workspace, rent/mortgage, utilities, internet, renter's insurance. Multiply by (office sq ft ÷ total home sq ft).
2. Equipment & Supplies
Deductible in full in the year of purchase (Section 179) or depreciated over time:
- Computers, monitors, keyboards
- Office furniture (desk, chair)
- Software licenses (one-time purchases)
- Printers, scanners, webcams
Track: Date of purchase, amount, receipt.
3. Software Subscriptions (100% Deductible)
- Design tools (Adobe CC, Figma, Sketch)
- Development tools (GitHub, Linear, VS Code)
- Productivity (Notion, Todoist, Calendly)
- Accounting/bookkeeping software
- Cloud storage (Dropbox, Google Drive)
- Website hosting, domains, SSL
Recurring charges add up fast. Review these quarterly — you're probably paying for 2-3 tools you forgot about.
4. Professional Services (100% Deductible)
- Accountant / CPA fees
- Lawyer / legal fees
- Business coach or consultant
- Bank fees (monthly service charges, wire transfer fees)
- Payment processing fees (Stripe, PayPal, Upwork fees)
5. Travel & Meals
- Client meals: 50% deductible (keep receipt + note who you met and what you discussed)
- Business travel: Flights, hotels, rental cars — 100% deductible if primarily for business
- Mileage: $0.70/mile (2026 IRS rate) for business driving
6. Education & Training
- Online courses (Udemy, Coursera, industry certifications)
- Books and learning materials
- Conference tickets and travel
- Professional memberships and association dues
7. Health Insurance Premiums
If you're self-employed and not eligible for an employer-sponsored plan, your health insurance premiums are deductible as an adjustment to income (not an itemized deduction).
How Much Should You Set Aside for Taxes?
1099 contractors pay self-employment tax (15.3% for Social Security + Medicare) plus income tax. The rough rule:
| Annual Net Profit | Approximate Tax Rate | Set Aside |
|---|---|---|
| Under $50K | 25-30% | 30% (safe) |
| $50-100K | 30-35% | 35% |
| Over $100K | 35-40%+ | 40% |
Open a separate savings account for taxes. Transfer 30% of every client payment to it immediately. Do NOT touch it for anything else. When quarterly estimated taxes are due (April 15, June 15, September 15, January 15), the money is already there.
Spreadsheet vs Bookkeeping Software: When to Switch
| Factor | Spreadsheet | Bookkeeping Software |
|---|---|---|
| Under 30 transactions/month | ✅ Works fine | Overkill |
| 30-100 transactions/month | ⚠️ Time-consuming | ✅ Time-saver |
| 3+ income sources | ⚠️ Manual consolidation | ✅ Auto-import from all |
| Multiple currencies | ❌ Painful | ✅ Auto-conversion |
| Need receipt images | ❌ Manual linking | ✅ Auto-attached |
| Tax prep time | 3-5 hours | 30-60 seconds |
Rule of thumb: If tracking expenses takes more than 1 hour/month, switch to software. Your time is worth more than the $12/month.
Bottom Line
A 1099 spreadsheet works for low-volume contractors starting out. The template above covers the categories that matter. But the real tax savings come from consistency — tracking every expense, every month, with receipts.

Frequently Asked Questions
Do I need to keep paper receipts or are digital copies enough?
Digital copies are legally valid. The IRS accepts photos and scans as long as they show the amount, date, vendor, and what you bought. Snap a photo immediately — thermal paper receipts fade within months.
How much should I set aside from each payment for taxes?
Set aside 25-30% of every client payment into a separate savings account. If you earn $80,000/year net profit, expect roughly $12,000 in income tax plus $12,240 in self-employment tax. Quarterly estimated payments are due April 15, June 15, September 15, and January 15.
What is the difference between a 1099-NEC and a 1099-K?
1099-NEC reports non-employee compensation — direct client payments totaling $600 or more. 1099-K reports payments processed through third-party networks like Upwork, PayPal, or Stripe. Both must be reported on your tax return. Keep your own records — do not rely solely on 1099 forms.
